Title: Administrative Assistant
Function and Responsibility
Under administrative authority from and accountability to the Registrar, facilitate effective implementation of administrative policies in the area of student registration and record keeping. Assist with maintaining and improving the daily functions and inter-departmental relationships of the Registrar’s Office.
Duties and Responsibilities
Manage the Registrar’s Office. In the absence of the Registrar, oversee Registrar office operations.

Hire, train, supervise, and evaluate student employees.

Semester Course Schedule. Creation and maintenance of the semester course schedule. Work with deans, dept heads, and various departments to create/maintain semester course schedule. Monitor course schedule policies. Create and distribute reports as necessary.

Classroom Placement/Room Utilization. Place all semester courses appropriately in classrooms. Create the Semester Room Report and distribute to various departments. Monitor LSSU room utilization and create and distribute reports as necessary.

Process transfer credit evaluations for current students. Be main contact for current students and departments having questions about student transfer credit.

Process Grade changes and curriculum changes.

Process variety of enrollment verification forms and answer questions relating to enrollment and degrees.

Act as DSO for SEVIS. Each semester, assist with registration of all foreign students into the SEVIS online system. Monitor current foreign students status to maintain SEVIS compliance. Complete I-20’s as needed for our current students.

Assist with planning of registration activities (current student registration, orientation).

Perform registration functions.

Assist with end of term processing.

Assist with training faculty, staff, students’ in the use of our administrative computer system, and Anchor Access, our online self service product.

Process departmental payroll and maintain inventory control.

Perform other duties as assigned.
Associate degree in Office Administration, or related field required. Excellent computer skills and proficiency in use of Microsoft Word, Excel, Access, Power Point required. Familiarity with the software system Banner preferred. Experience in an institution of higher education preferred with proven ability to work effectively with faculty and staff at all levels of the University as well as with students. Organizational skills with a high degree of efficiency and accuracy are also required.
Physical and Mental Demands
Adequate physical fitness to be able to set and concentrate for long periods of time; use of fine motor skills to operate computer; problem solving ability; ability to understand and work with numbers; ability to see, hear, and speak with or without the use of aids to perform normal office tasks.
