Function and Responsibility
Under the general supervision of the Director – Health CARE Center, responsible for the daily office management of the Health CARE Center.
 
Duties and Responsibilities
Implement programs, procedures and policies for the Health Center as approved by the Health Center Director. Manage day to day operations of the Health Center per clinic and LSSU policy and procedure guidelines.

Report to and work in collaboration with the Health Center Director in regards to changes in policies, working relationships, and internal and external departments and agencies.

Assure professional and clinic licenses and certificates are up to date and policies, procedures and related documents are current.

Implement on-going marketing plan for the Center.

Prepare financial documents required for operation; comply with financial reporting systems of the University.

Responsible for payroll reporting and compiling all employee hours including vacation, sick, compensatory time, etc. Responsible for contacting and scheduling of fill-in employees for the Nurse Practitioner, LPN and receptionist, and notifying Director about projected staff needs. Become cross trained and be responsible to fill in for non-professional clinical personnel when required.

Set work schedules and oversee the training and direct supervision of non-clinical personnel and student employees working in the Health Center. Conduct on-going performance evaluations of non-clinical personnel and students employees.

Train employees in use of Rollins system and obtain support and update as necessary.

Implement contracts with vendors, physicians, and other contracted services. Reports to Health Center Director any variances in contract implementation or need for modification.

Oversee the general up keep of the Center including interior building cleaning, maintenance, electrical problems, parking, snow removal and lawn care issues.

Responsible for maintaining current malpractice insurance for the Center. Attend meetings as held by the malpractice carrier.

Responsible for financial practices of the clinic by meeting insurance policy requirements and procedures. Manage the sliding fee policy and procedures accurately. Responsible for collections and implementation of a collection agency.

Responsible for billing procedures, including billing Blue Cross and Blue Shield, Medicare, Medicaid, UPHP and private insurance companies, and all appropriate follow-up. Responsible for correct procedure and diagnostic coding and updating the computer system with the correct codes as revision and additions to these codes are made. Provide training to personnel on correct billing procedures. Attend billing seminars as necessary.

Manage medical records. Maintain accurate and complete filing system; maintain accountability of all records.

Will assist in making travel arrangements for the Health Center staff, including flights, vehicle, hotel and other reservations that may be needed.

Perform other related duties as assigned.
 
Qualifications
High school graduate with a minimum of five years experience in medical office management and successful billing operations. Associate Degree in Business Administration or equivalent preferred or willingness to pursue such. Current CPR certification or ability to obtain in a reasonable period of time. Excellent supervisory skills required. Must have a strong medical management/billing background.

Adequate physical fitness to be able to sit and concentrate for long periods of time; use of fine motor skills to operate computer; problem solving ability; ability to understand and work with numbers; ability to see, hear, and speak with or without the use of aids to perform normal office tasks.
