Compose
a message
Click on the Compose button from the
toolbar
Fill in information in various fileds
in the compose window such as TO, CC, BC etc.
In the To: field type in a faculty/staff's
userid. In other words, to send a message to Tom Pink, in the To: field typ
in tpink.
To send a message to more than one
individual, type in the first userid, followed by a comma and a space. To send
a message to Tom Pink and Mark Jastroff, in the To: field type in tpink,
mjastroff.
Attach
a file to a message
Select the file
Toward the lower half of the compose
window, in the Attachments area
Click on the Browse button
Choose a File window opens, in the
Look In: box, browse to the file to be attached.
Click Open to select the file
This should take you back to the Compose
Window
The file that you selected is now
selected to be attached in a message
Attach the file
Click on the Attach button on the
right hand side of the Attachments area
The file that you attached should
be listed towards the bottom of the compose window.
Sort messages
by date
Click on the title Date to change
the sort order
If the current sort order is ascending,
clickin gon the title Date will change the sort order to descending, and vice
versa.
Deleting
messages
Select the message to be deleted by
checking the button on the left hand side of the message
Click on the Delete link above the
Date, From, Subject line
The messages that you deleted should
not be listed on your screen
Accessing deleted messages
All deleted messages are automatically
copied into the Trash folder
To access the Trash folder:
Click on the button Folders
Select Trash from the list of folders
Setting
up Filters
Click on the Filters icon from the
toolbar
Under Filter Settings, Click on Edit
your filter rules
Under the title Existing Rules, Click
on the button New Rule
The Filter Rule options appear on
the screen
There are basically three areas that
need to be defined to create a rule, they are:
1. Identify the type of message you
would like to filter
Click on the drop-down list Select
a field
Select the appropriate field.
For example to filter messages from
Martha Beck, select the From field.
Once the From field is selected, the
window refreshes itself to display a Contains button and an extra empty
field next to it.
In the area on the right hand side
of the Contains button, type in the name of the person, in our example
it would be Martha Beck.
Please Note: If messages from Martha
usually arrives in your Mailbox as mbeck@lssu.edu, then in the blank field next
to From Contains area type in mbeck@lssu.edu.
2. Messages filtered could be filed
in a specific folder , or deleted.
Make your selection from the drop-down
option Deliver into my INBOX
3. Select the apporiate option, such
as was the message Seen, Important, Answered or Deleted
4. Save the rule by clicking on the
Save button
Accessing
Sent Items
Click on the icon Folders from the
toolbar
Select Sent Items
Address
Book
Click on the Address book icon on
the toolbar
You have access to couple address
books:
My Addressbook, is your personal address
book
LSSU Faculty/Staff Directory, is the
global address book.
(The global address book contains
all Faculty and Staff email addresses and phone numbers. This address book is
maintained by the IT department)
To access the LSSU Faculty/Staff Directory
Click on the Address book icon on
the toolbar
Select LSSU Faculty/Staff Directory
option from the From field
To display the entire
directory, click on the Search button
To display a particular individual,
select the appropriate options from the Find and Matching field
and then click on the Search button.
Note: Click on the Mail tab to get
back to the Inbox from the Address book!
Sending
a message to a group
To send a message to a group that
you created type in the name of the group in the To: area in the Compose window
Downloading
messages
Downloading messages makes a copy
of your message from your mailbox. It does not delete the original message.
To delete the messages, please refer to Deleting
messages area.
If you are downloading messages to
keep your mailbox under quota,
To download an individual message
Open the message
Select Save As from the list
of options listed above the fields Date, From, To, Subject etc.
Select Save from the File Download
window
Save it to an aprropriate window
To open the saved message
Double-click on the message saved
in the previous section
This message should open automatically
in Outlook Express
To download an entire folder
Click on the icon Folders
Check and individual folder to be
archived
Click on the options list Choose
Action:
Select Download folders
Click OK at the window that informs
you that all messages will be downloaded in one MBOX file
Click on Save from the File
Download window
Save the file to an appropriate area
(Note that this file sometimes is
saved with as filename.mbox.txt)
If you have downloaded and deleted
the entire folder, you can restore the folder by doing the following:
Click on the Folder icon
From the folders list, select a folder
to import the messages to
From the Choose Action drop-down list,
select Import mbox file
Click on the Browse button to select
the mbox file.
(Note that the file sometimes might
have a .txt extension, such as filename.mbox.txt)
Click on the Import button
The messages in the mbox file should
now be restored in the folder you specified

Global
Address book
To access the global address book
LSSU Faculty/Staff Directory:
Click on the Address book icon on
the toolbar
Select LSSU Faculty/Staff Directory
option from the From field
To display the entire
directory, click on the Search button
To display a particular individual,
select the appropriate options from the Find and Matching field
and then click on the Search button.
Note: Click on the Mail tab to get
back to the Inbox from the Address book!

Click on the My LSSU tab
Clicking on the vacation/auto-reply
icon on your profile and follow the prompts
