POLICY:

During the summer semester, select on-campus classes are guaranteed to be offered, regardless of enrollment, with one exception - the University reserves the right to cancel a class if, in the opinion of the academic dean, the running of a course with an enrollment below a designated number would not offer a valid academic experience for enrolled students. This acceptable minimum number may vary for different courses. Courses are designated as "guaranteed" by the academic dean.

  1. Guaranteed Classes for Summer Semester:

    1. The University guarantees that selected classes indicated as "guaranteed" courses, will be offered, regardless of enrollment, except as stated in the policy statement above.

    2. The University guarantees full pay for summer teaching to instructors who teach classes which are guaranteed by the University.

    3. An instructor may guarantee a course, which would not otherwise be guaranteed, with the approval of the academic dean, by signing a contract in which the instructor agrees to teach for any number of students below ten (10) with a pro-rated salary, using the formula in the faculty contract. The student enrollment count for the class, for pay purposes, will be taken from the official reports produced at the end of the add period.

  2. Petitioning by Students

    1. Students who wish to have a class offered that is not in the class schedule, may petition the Continuing Education Office to have the course offered. The University will not accept petitions for a duplicate section of a course that is already being offered. Students who wish to sign a petition must first pay a deposit at the Continuing Education Office. The minimum number of ten (10) deposits must be received before the petitioned class will be offered. Petitioned classes must be approved by the academic dean and are dependent on faculty availability.

    2. Students who ultimately enroll in the petitioned class that is offered, and are still enrolled at the end of the tuition refund period, will be given a refund of their petition deposits. Students who either do not enroll, or who dropped and received a tuition refund, will forfeit the deposit. Deposit refunds will be authorized by the Director of Continuing Education.

  3. Responsibilities:

Director of Continuing Education

  1. Coordinates schedule offerings with academic dean, considering the likelihood of the course to attract ten (10) or more students during the summer semester. Works with academic deans to build a non-conflicting schedule, assigning days, hours and length of classes.

  2. Finalizes list of guaranteed courses, publicizes same to on-campus students and other potential students.

  3. Develops and implements extensive marketing plan for summer semester using the following target markets: 1) high school juniors and seniors 2) LSSU current students, 3) transfer students home for the summer, 4) community members.

  4. Develops promotion brochures and posters for wide distribution - per the strategic marking plan for summer semester.

  5. Insures the final class schedule with tentative instructors is completed in a timely manner. Authorizes budget based on anticipated expenses and revenue from tuition and fees.

  6. Keeps academic deans informed as necessary. Prepares reports for the Provost.

  7. Monitors enrollment and breakeven numbers for potential cancellation. Consults with academic dean on classes which are not achieving breakeven. Manages and monitors summer budget with goal of achieving overall summer net gain.

Academic Dean

  1. Recommends courses to be offered and guaranteed.

  2. After initial schedule is established with the Director of Continuing Education, adds other necessary courses directly through the scheduling office, for summer practicums, internships, or directed study courses. Establishes pay with instructors for those courses which must be pro-rated, orders supplies and submits orders for textbooks.

  3. Provides budgetary information as requested by Director of Continuing Education, budget director or Provost. Summer session costs will not be charged against the departments' yearly budgets for overload and teaching assignments. A separate accounting system will be used for summer semester with all summer expenses paid from summer revenues received.

  4. Responsible for staffing of department's courses. Locates qualified instructors, offering teaching assignments. Prepares contracts and payroll authorizations. The instructor contract letter should include an option to pro-rate summer pay if class enrollment is less then ten (10) students. Obtains necessary documentation for employment of new adjunct instructors, and sends to Human Resources Office and to Provost, as appropriate.
